I. Role purpose
The Cambridge Examinations Officer is responsible for the accurate, secure and timely administration of all Cambridge examinations across the centre‘s programmes (Checkpoint, IGCSE, AS and A Level), together with mock and retake examinations. The role is an integral, collaborative member of the Cambridge team, contributing actively to shared goals and supporting colleagues, students and families throughout the examinations cycle.
II. Key responsibilities
1. Cambridge examinations cycle (external examinations)
- Administer all Cambridge examinations across the full exams cycle — preparation, entries, teacher assessment/coursework, pre-exam, exam day, and results & certificates — in line with the Cambridge Handbook and official Cambridge International guidance.
- Manage the registration and entries process, gathering accurate information from teaching staff and making amendments and withdrawals within published deadlines.
- Receive, check and securely store all confidential examination materials, question papers and scripts.
- Manage the secure and timely despatch of completed examination scripts to Cambridge International.
- Coordinate access arrangements and special consideration applications.
- Manage examination days in accordance with Cambridge regulations, including the handling of irregularities, malpractice and maladministration.
- Download, process and disseminate results; manage certificates, including secure storage and distribution with full records of date, time and signed acknowledgement from students/parents.
- Manage enquiries about results and other post-results services.
- Maintain and securely store all records relating to examination papers and results; compile, analyse and report examination results, including transcripts for students and parents on request.
2. Mock, retake and internal examinations
- Take ownership of the organisation and running of mock examinations and retake examinations.
- Support the Cambridge admin team with internal midterm and end-of-semester examinations as needed — providing assistance where capacity allows and official examination work is not affected. The Examinations Officer is not responsible for leading these internal exams.
- Support the organisation of Vietnamese subject examinations for Cambridge/A-Level students, working with the Academic Affairs Department.
3. Invigilation and training
- Recruit, train and brief invigilators, ensuring all invigilators understand Cambridge regulations and any annual changes.
- Act as the centre‘s point of expertise during examinations, answering questions from teachers and invigilators confidently and accurately.
- Collaborate with the Cambridge admin team to produce examination schedules and seating plans that are effective, clear and easy to follow.
4. Records, data and longitudinal tracking
- Act as an active contributor to the central forecast and predicted grades database — officially managed by the Cambridge Coordinator — alongside the Academic Counsellor.
- Help maintain a single, centralised spreadsheet for longitudinal student data tracking across all levels (primary, Checkpoint, IGCSE, AS and A Level), in collaboration with the Cambridge Coordinator, BOM, Cambridge admin team and Academic Counsellor.
- Ensure data is accurate, consistent and held in one accessible place to support improved tracking of student progress over time.
5. Collaboration and team contribution
- Work as a collaborative member of the Cambridge team, contributing actively towards shared team goals rather than working in isolation.
- Proactively offer help and support to colleagues when needed.
- Undertake additional administrative duties in line with internal and external examinations as reasonably assigned by the Head of Centre.
6. Expertise, compliance and professional development
- Consult all official Cambridge documentation and maintain expert, up-to-date knowledge of the Cambridge Handbook and annual examination changes.
- Participate in Cambridge Exams Officer continuing professional development (CPD).
- Ensure all examinations are administered in full compliance with Cambridge International regulations and centre policies.
III. Person specification
- University degree in a relevant field (Education, Administration, or related).
- Experience in academic affairs or educational administration in a school setting.
- Excellent communication skills in both English and Vietnamese — including the ability to interpret official Cambridge documentation and support teachers and invigilators with confidence.
- Extremely strong attention to detail and a quality-assurance mindset.
- Excellent Google Sheets skills, with proficiency in other office software.
- Highly organised, with the ability to meet strict deadlines.
- Strong teamwork skills — a collaborative colleague who communicates openly and proactively offers support.

Desirable
- Prior experience as a Cambridge Exams Officer or in a Cambridge International school
- Familiarity with the Cambridge exams cycle and Cambridge International systems
- Experience training or managing invigilators
- Experience building and maintaining data tracking systems
